Personnel

Personnel page contains information about employees and allows you to manage them. The list can be sorted by the approval status of an employee. In the list, you can view the following columns:

  • Full name

  • Type

  • Job position

  • Rate

  • Approved

To view the list of approved employees, select Approved. This list contains employees who are on their probationary period and employees who have been approved.

To view the list of all employees, select All. It contains employees who are waiting for a document signing, waiting for a review, and employees on the probation period.

To sort the list, select options for Team, Position, and Status from the drop-down menus.

Personnel Card

Personnel Card is an employee's profile. From this view, you can perform all menu actions as well.

To open Personnel Card, perform the following steps:

  1. Select Details in the actions menu.

  2. Another way to perform this action is to hover over an employee in the list and select it in a highlighted state.

  3. The system redirects you to Personnel Card.

If employee's profile doesn't exist the action will be hidden.

Personnel Card contains three widgets:

  • Personal Information

  • Time Activity

  • Adjustments

Personal Information widget contains the following information about employee:

  • First name

  • Last name

  • Email

  • Position

  • Type

To edit position and type in Personal Information, perform the following steps:

  1. On the actions menu, select Edit.

  2. Select options for Position and Type from the drop-down menus.

  3. Select Save.

Time Activity widget contains the list of employee's tracked time. To edit a record in the list, perform the following steps:

  1. Hover over a record and select the actions menu appeared in a highlighted state.

  2. On the menu, select Edit. The modal window appears.

  3. Set time and select Change.

  4. If you want to delete a record, select Remove.

Adjustments widget contains the list of employee's adjustments. To delete adjustment, perform the following steps:

  1. On the actions menu, select Delete Adjustment. The dialog window appears.

  2. In the dialog window, select Yes to confirm the deletion.

Actions menu

To open the actions menu, hover over an employee in the list, and select actions menu appeared in a highlighted state.

Another way to open actions menu: go to the Personnel Card and select actions menu in Personal information widget.

Actions menu contains the following actions:

  • Details

  • Approve Probation

  • Change Rate

  • Signed Documents

  • Payroll Adjustments

  • Delete Personnel

How to approve probation

  1. On the actions menu, select Approve Probation. The dialog window appears.

  2. In the dialog window, select Yes.

How to change the rate

  1. On the actions menu, select Change Rate. The modal window appears.

  2. In the modal window, enter Rate charge.

  3. You can select another Rate type if applicable.

  4. Select Change.

If an employee's profile doesn't exist or an employee's type is Not approved the action will be hidden.

How to view signed documents

  1. On the actions menu, select Signed Documents. The modal window appears.

  2. To navigate between documents, select Next or Previous.

  3. To close the window, select Close.

How to create payroll adjustment

On the actions menu, select Payroll Adjustment. The modal window appears. In the modal window, you can create one of four types of adjustment:

  • Time

  • Bonuses

  • Reimbursements

  • Deductions

Time

  1. In the modal window, enter How many hours, and select Add or Sub from the drop-down menu.

  2. To set a date, select the date field.

  3. Select Hours type from the drop-down menu.

  4. Enter Description of adjustment.

  5. Select Save.

Bonuses

  1. In the modal window, select Bonuses type from the drop-down menu.

  2. Enter amounts for Description and Bonuses.

  3. Select Project and upload a file if applicable.

  4. Select Save.

Reimbursement

  1. In the modal window, select Reimbursement type from the drop-down menu.

  2. Enter Description and Reimbursement amount.

  3. Select Project from the drop-down menu, if applicable.

  4. Select Add attachment to upload a file from your computer.

  5. Select Save.

Deductions

  1. In the modal window, select Deductions type from the drop-down menu.

  2. Enter Description and Deductions amount.

  3. Select Project from the drop-down menu, if applicable.

  4. Select Add attachment to upload a file from your computer.

  5. Select Save.

How to delete personnel

  1. Select Delete Personnel on the menu. The dialog window appears.

  2. In the dialog window, select Yes.

Only HR Head has access to this action.

How to add personnel

Select Add personnel button. The modal window appears. In this modal window, you can create or invite a user to your organization.

Invite user

  1. In the modal window, enter email or name of a user into Search tab. If a user has an account in the system, you see his name displayed in search results.

  2. Select a user from search results and select Send invite.

Create user

  1. In the modal window, select Create user.

  2. Enter First name, Last name, and Email.

  3. Select Type from the drop-down menu or select Add new. The system redirects you to the modal window where you can add a new type of personnel.

  4. Select Position from the drop-down menu or select Add new. The system redirects you to the modal window where you can add a new job position.

  5. Select Start Date to set the first workday for a user.

  6. Select Rate type from the drop-down menu and enter rate value for the chosen period.

  7. Select Send invite. A user will be invited to create an account in the system.
